Archiving the IMAP email will free up space on your email client or webmail. Some Email Service Providers(ESPs) have limitations for storing the data.

  • Step 1:IMAP downloads a copy of the email message from the email server, but it takes up more storage space.
  • Step 2:Therefore, archiving your IMAP emails to local storage avoids exceeding the storage limit in your mailbox.
  • Step 3:You must create a new folder on your email client to store the archived emails on local drives.
  • Step 4:After creating a new folder for archiving, you must select the desired emails from the mailbox and drag it to the new local folder.

How To Archive IMAP Email In Outlook

If you are exceeding the storage limit of your IMAP mailbox in Outlook, you can archive some emails to the drive location on your computer.

  • Step 1:First, create a new data file on your Outlook or using the Control Panel. 
  • Step 2:Navigate to the Control Panel and select the 'Mail' option.
  • Step 3:Click on the Data files option and select Add to create a new data (.pst) file. 
  • Step 4:Choose the file location and fill up the 'File name' and 'Save as type' columns.
  • Step 5:Now, open your Outlook account and go to the new data file.
  • Step 6:Give a right-click on the IMAP Archive option and select New Folder from the drop-down menu. This the new folder that you have created for archiving.
  • Step 7:Now, drag and drop the messages to be archived into the box.
  • Step 8:You can also enable the Auto-archive feature that is available on Outlook to archive the IMAP emails automatically. 
  • Step 9:After archiving the IMAP emails, check the folder size status on your email account.
  • Step 10:To check the status on your webmail, login to your account and select POP/IMAP Email  Accounts  Email Account  Account Information.

How To Archive IMAP Email In Thunderbird

You can archive an IMAP email in Mozilla Thunderbird by following the steps given below:

  • Step 1:Open the Mozilla Thunderbird application on your system.
  • Step 2:Give a right-click on the Local folders tab available on the left side panel.
  • Step 3:Select the New Folder option from the drop-down menu.
  • Step 4:Type a name for the archive folder you wish to create and click on the Create Folder option.
  • Step 5:Make sure that you don’t include any file extensions (for example, the file name should be Archive and not be like Archive.msf)
  • Step 6:Now, the archive folder will be created and placed on the left side panel of Mozilla Thunderbird.
  • Step 7:Select the mailbox folder to archive the desired emails.
  • Step 8:Choose the emails you wish to archive and give a right-click on the mail.
  • Step 9:Select Move To  Local Folders and click on the created archive folder.
  • Step 10:Now, the selected emails are saved as archives in the new local folder, and you can easily access it anytime.

How Does IMAP Store ITS Emails

IMAP(Internet Mail Access Protocol) is a protocol used to access emails from the email server. It is widely used by email programs such as Outlook and Thunderbird. IMAP creates a master copy of your emails in the server, and the email programs are used as a window to view the emails received from the email server. IMAP downloads a copy of your email from the email server, and the emails in the server can be accessed from your email account on any device configured with the IMAP server settings. Each IMAP account synchronized with the same email server follows a strict rule that if an email is read, deleted or flagged, then the change is reflected when you open the updated mailbox of the email account on any device.
