Outlook Troubleshooting

The problems that arise with the Outlook software are files not accessible, missing folders, connectivity issues, emails disappearing, and so on. To resolve those issues, follow the Outlook troubleshooting solutions mentioned below.

Outlook Data File Cannot Be Accessed

SOLUTION 1 -NEW OUTLOOK PROFILE

  • Step 1:Press the Win and X keys simultaneously and then select the Settings option.
  • Step 2:In the Settings window, navigate to Accounts and click the Email & Accounts option on the left panel of the screen.
  • Step 3:Click the Add an account icon on the main panel of the screen.
  • Step 4:Select the E-mail Account option, type the name of your profile that you need to create, and also the other necessary information in the respective fields to solve Outlook data file cannot be accessed.
  • Step 5:Once you have completed all the details, select the Next button followed by the Finish button.

SOLUTION 2 - MOVE DATA

  • Step 1:Select all the files that you are not able to access and then move them to a secure location temporarily.
  • Step 2:After a few minutes, move those files to an original location and then restart your PC

SOLUTION 3 - REPAIR

  • Step 1:In the Control Panel window, select the Large Icons option from the View By drop-down menu.
  • Step 2:Select the Mail option.
  • Step 3:Click the Repair option and be patient until the repair process is over to solve Outlook data file cannot be accessed.

SOLUTION 4 - SPECIFY INBOX FOLDER

  • Step 1:Navigate to File Account Settings Account Settings Change Folder.
  • Step 2:Select the plus icon beside the folder name and then click the Inbox option followed by the OK option.
  • Step 3:Exit the Account Settings window and then select the Send and Receive button.

SOLUTION 5 - SET THE DELIVERY LOCATION

  • Step 1:Go to File and then click Account Settings Email accounts.
  • Step 2:Select the Change Location button and type the delivery location.

SOLUTION 6 - CACHE EXCHANGE MODE

  • Step 1:Navigate to Control Panel Mail Email Accounts and select the Email tab and proceed with Outlook troubleshooting guide.
  • Step 2:After entering the email account, remove the checkmark next to the Use Cached Exchange Mode option.
  • Step 3:Select Next click Finish Restart Outlook to solve Outlook data file cannot be accessed.

SOLUTION 7 - CREATE NEW FILE

  • Step 1:Copy and paste the pst file to a new folder. If copying does not resolve the problem, create a new pst file.
  • Step 2:Navigate to File, click Account Settings, and select your account.
  • Step 3:Select the Change Folder button followed by the Create new Outlook data file button.
  • Step 4:After naming the folder, click the plus icon and select Inbox.

SOLUTION 8 - DATA FILES REPAIR

  • Step 1:Use a Microsoft Exchange account to delete the data files. This will create the data files automatically.
  • Step 2:When you do not have a Microsoft Exchange account, run the scanpst.exe file.
  • Step 3:Browse the data files manually and then select the Start button to begin the scanning process.
  • Step 4:Once the scanning process is over, select the Repair button to fix Outlook data file cannot be accessed issue.

Outlook Folders Missing

  • Step 1:Go to the Outlook application, select the File tab at the top-left corner of the screen.
  • Step 2:Select the Import and Export option to solve Outlook folders missing.
  • Step 3:When the Import Wizard window appears on the screen, click the Import from another program or file option followed by the Next option.
  • Step 4:Once you have chosen the file that you need to import, click the Next button at the bottom of the screen.
  • Step 5:Select the Browse button to search for the folder that you need to restore.
  • Step 6:After selecting the PST folder, click the Replace duplicates with items imported option.
  • Step 7:Click Next Finish and then perform the steps mentioned above to restore the remaining folders.

Outlook Trying To Connect

  • Step 1:Launch the Outlook application.
  • Step 2:Navigate to the Send/Receive tab.
  • Step 3:Select Work Offline Offline to disable the Offline mode.
  • Step 4:Navigate to the Start menu and then select the Control Panel option to solve Outlook trying to connect.
  • Step 5:Select Mail Data Files.
  • Step 6:Search for the file name that is the same as your email address and select the Open File Location.
  • Step 7:When the file name extension is .ost, change the extension to .OLD. When the file name extension is .pst, leave as it is.

Emails Disappearing From Outlook

METHOD 1 - EXPORTING MAIL HISTORY

  • Step 1:Open the Outlook application, select the File tab, and click the Open & Export option.
  • Step 2:Select Import/Export Export to a file Outlook Data File (.pst).
  • Step 3:To solve emails disappearing from Outlook, Choose your desired email account and then checkmark the box next to the ‘Include subfolder’ option and proceed with Outlook troubleshooting guide.

  • Step 3:Select the Mail option and then click the Add button.
  • Step 4:Go to Create New Profile and enter the name of your profile in the Profile Name field.

METHOD 3 - IMPORTING MAIL

  • Step 1:Go to the Outlook application and then select File Open & Export Import & Export Import from another program or file Next Outlook Data file (.pst) Next.
  • Step 2:Click the Browse button to search for the PST file location.
  • Step 3:Wait until you see the ‘All folders are up to date’ message on the screen to solve emails disappearing from Outlook.

METHOD 4 - DELETING ALL FILTERS

  • Step 1:After opening the Outlook application on your computer, select the View tab.
  • Step 2:Click the View Settings option and then navigate to the Filter tab.
  • Step 3:Select all the filters and then click the Clear all option.

METHOD 5 - ADVANCED SEARCH

  • Step 1:Sign into the Outlook email account and then navigate to the Inbox folder.

METHOD 6 - MANAGING THE OUTLOOK ACCOUNT

METHOD 7 - BACKUP

  • Step 1:Download the Windows Essentials software from the official site.

Outlook Says Working Offline

  • Step 1:To eliminate the chance of an internet connection issue, create a new Outlook profile.
  • Step 2:Go to the Folder tab and right-click the currently set Outlook user profile. 
  • Step 3:Go to File Add account key in the email address, password, username in the appropriate fields. Click Next.
  • Step 4:Click OK-->Finish. Check whether the issue is resolved. If you cannot perform these steps, it means the internet connection is faulty.
  • Step 5:esolve the internet connection issue and then check whether the Offline Outlook issue is cleared

Outlook 2016 Not Receiving Emails

Follow these Outlook troubleshooting guidelines to resolve the 'Outlook not receiving emails' issue.

  • Step 1:To fix Outlook 2016 not receiving emails, Check whether your computer is connected to a stable network with an active internet connection.
  • Step 2:Outlook might be in the Offline mode. To change it to the online mode, click the Send/Receive button Preferences Work Offline Send/Receive All Folders.
  • Step 3:Take a look at the Outlook Junk folder and check whether your emails have been stored there.
  • Step 4:Go to the File tab Account Settings Manage Profiles Show Profiles Add Enter a name click OK.
  • Step 5:Perform the actions displayed on the screen. Close Outlook and open it. 
  • Step 6:Now, click File Account Settings Change Profile OK. Close Outlook and open it again. Select the new Outlook profile and check whether the Outlook 2016 not receiving emails issue is resolved.
  • Step 7:Contact your ISP to find out whether the email service requires SMTP authentication. If it does, open Outlook, click Tools Accounts choose the email account click More Options set the authentication and configure it.
  • Step 8:Check whether you have accidentally forwarded your Outlook emails.
  • Step 9:To solve Outlook 2016 not receiving emails, In Outlook, click Settings View All Outlook Settings Mail Forwarding Stop Forwarding.
  • Step 10:Also, disable the antivirus application/firewall temporarily and check whether you are able to receive Outlook emails.

Outlook stuck In Offline Mode

If the Outlook application is stuck in the offline mode, follow these Outlook troubleshooting guidelines to fix it.

Outlook 2016, 2013, 2010

  • Step 1:The 'Working Offline' message appears at the bottom of the Outlook application window.
  • Step 2:Click the 'Send/Receive' tab and locate the 'Work Offline' button at the top. Click it.
  • Step 3:The 'Connected to Microsoft Exchange' message appears at the bottom of the Outlook window. 
  • Step 4:Check whether the network devices to which the computer is connected are working.
  • Step 5:Try connecting a mobile device to the router and check if you can surf the web. If not, resolve the connection problem and then check whether the Offline Outlook issue persists. 
  • Step 6:Go to the Outlook settings screen and find out whether it has been configured correctly. Click Tools Account Settings configure the settings, and click Finish.

Outlook Cannot Open Folders

The Outlook application fails to launch and displays a message stating that a set of folders cannot be opened. Click OK. Follow this guide to resolve this issue.

  • Step 6:Open the computer's Start menu and type 'Outlook.exe /resetnavpane' without quotes in the text field. Press Enter. If this does not resolve the 'Outlook cannot open folders' issue, go to the next step.
  • Step 6:Click Start Control Panel Mail (MS Outlook) Show Profiles. Click Add and create a new profile. Select the new profile. Click the 'Always use this profile' radio button and click OK.
  • Step 6:The Outlook issue should now be resolved, and you should be able to open it.

Outlook Cannot Synchronize Subscribed Folders

          

If you encounter the 'Outlook cannot synchronize subscribed folders' issue on your computer, follow these steps to fix it.

  • Step 1:Click the 'File' option at the top of the Outlook window. Choose Options-->Advanced. Scroll down and click Send/Receive.
  • Step 2:The Send/Receive Group window opens. Click Edit. Choose the Outlook account from the list of accounts on the left-hand side panel. 
  • Step 3:Deselect the 'Get folder unread count for subscribed folders' option. Click the 'Use the custom behavior defined below' radio button and then click OK. Click Close-->OK.
  • Step 4:Select the 'Send/Receive tab and click Send/Receive All Folders.' The Outlook folder synchronizing issue should now be resolved.

Outlook Cannot Log On

If you encounter the 'Outlook cannot log on' issue, follow these guidelines for Outlook troubleshooting issue.

  • Step 1:Click the 'Start' button to open the Start menu. Click the Control Panel button. Go to the View by drop-down button and click it. Choose 'Small icons.' 
  • Step 2:Locate the Mail (MS Outlook) button and click it. Here, deleting & adding an email account is recommended over deleting and adding an Outlook profile since deleting a profile deletes all the email accounts associated with it to solve Outlook cannot log on.
  • Step 3:Click the Email Accounts button and click OK when the 'Outlook cannot log on' message appears. When the 'Account Settings' window opens, select the Microsoft Exchange account, and click 'Remove' Yes. Close all the Outlook windows and launch the application.
  • Step 4:Click File Add Account Enter the Microsoft Exchange account credentials. Click Next.
  • Step 5:Ticks should appear beside the 'Establishing network connection,' 'Searching for settings,' and 'Logging on to the mail server' messages on the screen. Click Next. Click OK.
  • Step 6:If this does not solve the Outlook log on failure issue, delete and add the Outlook profile. Go to Mail (MS Outlook) in the Control Panel Show Profiles. Select the Outlook profile, click Remove Yes.
  • Step 7:Click Add key in the profile name and click OK. Type the Outlook account's login credentials and click Next to solve Outlook cannot log on.
  • Step 8:The Outlook application displays ticks beside the network connection, searching for settings, and logging on to mail server notifications, respectively. Click Finish Apply OK.

OUTLOOK ONLY OPENS IN SAFE MODE 

If Outlook opens, but it only does so in Windows Safe Mode, follow these steps to fix it.

  • Step 1:Power on your Windows computer and go to the desktop.
  • Step 2:Right-click the Windows icon at the bottom-left corner of the screen and click Run.
  • Step 3:Enter 'regedit' without quotes in the Run text field and click OK.
  • Step 4:The Windows Registry Editor opens. Click the expansion arrow beside HKey_Current_User Software Microsoft Office version Outlook Right-click Security Click New DWord(32-bit value) Enter the word ‘DisableSafeMode’ without quotes in the ‘New Value #1’ field Click outside the field Right-click the DisableSafeMode text and click Modify.
  • Step 5:Enter '1' without quotes in the text field and click OK. Close all the windows and restart the computer and launch MS Outlook. Check whether the Outlook troubleshooting issue is resolved.
